Spreadsheets are not the enemy

Almost every business starts with spreadsheets, group chats, and a handful of free apps. That’s the right call: cheap, fast, and flexible. Problems only appear when the business grows but the way it works doesn’t.

Five signs you’ve outgrown them

  1. The same data is typed again and again. Orders are noted in chat, then in a spreadsheet, then on an invoice. Every copy is a chance for mistakes.
  2. Only one person understands the file. When they’re on leave, operations slow down.
  3. Reports take days. Sales, stock, or cash figures only become clear after someone cleans up the data by hand.
  4. Nobody knows which version is right. There’s “final”, “final-revised”, and “final-really-final”.
  5. Customers start to feel it. Late orders, items that turn out to be out of stock, or invoices sent to the wrong person.

A good system doesn’t add work. It removes work that never needed to exist.

It doesn’t have to start big

Building your own system doesn’t mean shipping a giant ERP in one go. We usually recommend a phased approach:

  • Start with the one flow that causes the most trouble, such as orders or inventory.
  • Make sure the team actually uses that module every day.
  • Add the next module once the first one runs smoothly.

This way your investment pays off early, and the risk stays measured. Details of what we build are on our business systems page: ERP, CRM, reporting dashboards, and data integration.

A first step

Write down the one process that frustrates your team the most. From there, we can judge whether an off-the-shelf app is enough, or whether it’s time to build your own system. Tell us what you need and we’ll help you judge.
